FAQs: Claim Submission Terms & Condition


1. In an event that employers have sent their employees to attend the training from Peninsular Malaysia to East Malaysia and vice versa, what are the supporting documents required to claim their flight tickets?

Employers need to provide the e-ticket that shows the destination, flight date, passenger’s name, and form or method of payment. If the flight ticket was booked through a travel agency, then employers may attach the invoice and official receipt from the travel agency.

 

2. A basic free application was used by the training providers or employers during the training. However, the system and/or platform could not record a timestamp for each trainee. How can training providers verify a trainee's attendance for the purpose of submitting a claim?

Training providers may provide a justification or confirmation letter of attendance from the training organiser (either employer or training provider) AND a copy of the certificate of attendance for each trainee.

 

3. Some trainees may share one PC and login ID for the online training? How can the training provider verify the trainee’s attendance in this instance?

4.How long does it take for a claim to be processed and approved before it can be reimbursed to the training provider or employer? 

The claims will be processed within five (5) working days and reimbursement will take place within five (5) working days after the claims have been approved. This is subject to complete documentation and information during the claims submission process. 

 

 5. What is the time frame for claim submission under SBL-KHAS scheme?

All claims must be submitted within six (6) months from the training completion date. (Refer Employer’s Circular 3/2019)


6. The training provider or employer has submitted their claims within six (6) months from the training completion date. However, the claims were queried by HRD Corp and returned after six (6) months. Why was the claim rejected, even though the first submission was made within six (6) months as required?

The six (6) months claim expiry date is defined from the training completion date. All the queries raised must be accurately responded to within six (6) months from the completion date of training.

 

7. Is there any time frame to respond to the queried claims submission?

Employers or training providers need to reply to the queries raised by HRD Corp before the claim’s expiry date.

 

8. What happens if the claims were submitted more than six (6) months from the training completion date?   

The claims will be rejected. 

 

9. What happens if the type of training is changed from face-to-face to remote online learning due to the Movement Control Order (MCO)? 

Effective from 1st June 2021, employers are allowed to change the type of training from its initial approval without applying for grant modification due to the MCO. The claims amount will be finalised during the claims submission process and will be based on the rate of financial assistance for the actual method of training.

This approval is ONLY given for trainings conducted during the MCO. For training dates that were not scheduled during the MCO, employers must apply for grant modifications if there are changes to the type of training.
